This past year marked the inception of the City’s IT Project Review committee (ITPR). The committee embraced the role of reviewing and prioritizing IT related initiatives for the City. This approach allows for careful consideration of the impacts of new projects before staffing resources are tied up and budget commitments authorized.
This year also marked the finalizing the Kronos timekeeping implementation. While the project was rolled out in stages, the full rollout with all City departments went live as of April 2008. Completion of this project will include a transition of accrual management from the People Soft system to the Kronos environment and an interface which keeps the HR and Payroll information up to date and in sync.
Other key updates were museum archiving software (Past Perfect), financial system enhancements such as online requisitioning and purchase order roll processing, and Kronos timekeeping interfaces to Telestaff and PeopleSoft applications.
In general, this year was one that allowed for significant improvements in stabilizing the City’s network, database and functional support systems. Further efforts were made in process documentation and ensuring that departments are using the tools and resources correctly. This approach has resulted in a reduction of help support calls and reactive corrections to data.
IT manages, monitors and replaces computers, mobile data computers, phones, laptops, servers, pdas, radios using an inventory tracking system. Inventory is placed into a replacement cycle for forecasting and planning annual replacements and the associated fiscal year budgeting.
IT supported a significant number of facility moves and staff relocation throughout the year. There were also several activations of the Mobile Command Post supported by the IT team.
