WELCOME TO THE PURCHASING DIVISION 
AT THE CITY OF ONTARIO

 

The City of Ontario utilizes BidsOnlineTM, a fully automated web-based vendor and bid management system. The system simplifies engaging in business activity with the City by providing a searchable online database of current bid opportunities in an easy to use, secure and reliable environment.

Vendors will find that the key features and benefits of BidsOnlineTM include the ability to:

 

 
Register as a vendor online.
 
Maintain their company profile (City requires information be kept current).
 
Receive automatic e-mail notifications of bid opportunities and addenda (addenda notifications are sent automatically to vendors who have downloaded the solicitation).
 
View solicitations, addenda, drawings, bid results and contract awards.
 
Download documents at no charge.
 
Submit questions and bids electronically (hardcopy may also be required).

 

 

Note: In order to access the BidsOnlineTM system, you must install Adobe Flash Player 10.1 or higher. Click here to download and install the latest version.

 

Registration

 

Only vendors who are registered will be eligible to do business with the City. Simply click here to begin the registration process. Once you have completed the registration process, you may immediately select the Bid Opportunities tab to view active, closed and awarded bids.

During registration you will be asked to select category codes. The e-mail process of the BidsOnlineTM system is driven by the buyer's selection of need-specific category codes. Therefore, vendors should be careful to choose all codes that fully reflect their merchandise and/or services. Click here to view or print the current category code list used by the City of Ontario.

Following registration completion, you will receive an e-mail confirmation. You may wish to save or print this e-mail since it contains your username and password. If you do not receive this confirmation, it may have been delivered to your junk e-mail file due to firewall settings.

 

Forgot Username and/or Password?

 

After registering, if you misplace your username or password, click on the "Forgot Password" at the BidsOnlineTM log in page and enter your e-mail address. Your username and password will be e-mailed to you.

 

How to Obtain Bids

 

When you receive an e-mail notification about a business opportunity, the steps to obtaining the documents associated with a bid, request for proposal (RFP) or request for quote (RFQ) are as follows:

 

1. Log on to the City's web site.

2. At the home page select "Bids and Proposals" under Quick Links.

3. Log into BidsOnlineTM .

4. Locate the project of interest and double click.

 

Be sure to download all documents associated with a specific solicitation including Terms and Conditions, General Provisions or sample Agreements. It is the vendor's responsibility to ensure the most complete and current version of the bid documents are downloaded or otherwise obtained including addenda.

Bids are due on/or before the due date shown in BidsOnlineTM . The bid management system will not accept late bids.
